How do I link a child contract to its parent contract?

When a contract contains language that indicates it is incorporated to and governed by the terms and conditions of another contract, it is consider a ‘child’ contract to the ‘parent’ contract it is governed by.  It is important to link the child contract record to the parent contract record.  This can be done from the child via the Parent Contract field on the Contract Header or from the parent via the Link a Child to this Contract feature on the Contract Family.

The easiest way to locate the child or parent is by searching on the 6-digit sequence number at the end of the Contract Number.  Another option is to search on Second Party.

The Contract Family on the contract record lists all contracts that have been linked together by the Parent Contract field.

If the parent contract is Expired, the Contract Manager will need to temporarily change the End Date, link the child contract, then change the End Date back.

  1. From the parent contract record, select Check Out for Internal Edit Contract Action.
    1. Take note of the End Date year (e.g. 2020), then click Extend Expiration Date.
    2. Change the End Date year to a future year, this will change the contract to Executed: In Effect.
    3. Click Save Progress.
  2. From the child contract record, select Check Out for Internal Edit Contract Action.
    1. In the Parent Contract field, search for and select the parent contract.
    2. Click Save Progress.
    3. Select Check In Contract Action.
  3. From the parent contract record, click Extend Expiration Date.
    1. Change the End Date year back to its original value.
    2. Click Save Progress.
    3. Select Check In Contract Action.
