How are POs distributed to suppliers?

The distribution method of purchase orders (POs) to suppliers typically depends on the type of requisition it is (e.g. punchout, catalog, non-catalog).  Users (Requestors and/or Shoppers) need to review the distribution method and, if set to “Manual” ONLY, they are responsible for sending the PO to the supplier.

Punchout & Catalog Requests: All B2P Marketplace Orders are automatically distributed via "cXML", as was the process in HCOM.  There is no need for users to forward these POs manually.

Non-Catalog Requests: When a user selects the Non-Catalog Item link, they must select a supplier.  Once the supplier has been selected, the Distribution Methods (for the yet to be created PO) are populated based on the information in the supplier profile.  If preferred defaults are not included in the supplier profile then it will default to Manual.

The user can review and edit the preferred distribution method here before submitting the request for approval.

  • If a supplier Fax or Email is provided, B2P will automatically distribute the PO to the supplier when it is created. The box must be checked to edit/modify the PO distribution information.
    • Note: Multiple emails can be added using a semi-colon “;” and a space to separate each distinct email address (just like the address format in Outlook)
    • Note: When a valid Fax or Email is provided (or available by default from the supplier’s profile), the PO AND any external attachments added during the checkout process will be transmitted to the supplier
       
  • If left as Manual, the PO would simply be created and archived in B2P.  The user (Requestors and/or Shoppers) is/are responsible for manually distributing the PO to the supplier.  An email notification is sent to the Requestor (and Shopper, if applicable) when the PO has completed workflow.
     
  • A pdf of the resulting PO is available in both the Attachments section of the PO in B2P, and also by clicking Document Actions > View/Print PO.
